The Executive Assistant will provide high-level administrative support to the Chief Executive Officer and other senior staff. The Executive Assistant will be team-oriented, self-motivated, resourceful, detail-oriented and enjoy working in a collaborative and fast-paced environment. The Executive Assistant is well-organized, detail-oriented, adaptable, proactive and thrives in a collaborative, fast-paced environment with a strong commitment to accuracy, professionalism, and continuous improvement. This is a full-time salary-exempt position working a minimum of 40 hours per week working remotely.

Requirements

Provides high-level administrative support and assistance to the Executive Director and/or other assigned leadership staff. Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff. Arranges travel and accommodation for executives. Schedules and attend meetings on behalf of executives, taking notes and recording minutes. Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff. Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping. Performs additional duties as assigned by executives. All other duties as assigned. Knowledge Skills and Abilities (KSA’s): Excellent verbal and written communication skills. Excellent organizational skills and attention to detail. Excellent time management skills with a proven ability to meet deadlines. Ability to function well in a high-paced and at times stressful environment. Extensive knowledge of office administration, clerical procedures, and recordkeeping systems. Education and/or Work Experience Requirements: Able to type a minimum of 50 words per minute. Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software. High school diploma or GED required. 4+ years or relevant work experience required. Physical Requirements: Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA, and other federal state and local standards, including meeting qualitative and/or quantitative productivity standards. Ability to maintain regular, punctual attendance consistent with the ADA, FMLA, and other federal, state and local standards. Must be able to lift and carry up to 10lbs. Must be able to talk, listen and speak clearly on the telephone.
