Job Summary

We're seeking a highly organized and detail-oriented Part-Time Data Entry Clerk / Administrative Assistant to provide administrative support to our integrated Adult Detox and Crisis Recovery Unit. This role will involve a range of tasks, including data entry, report preparation, and administrative duties, as well as providing back-up support during high-volume periods. Key Responsibilities

As a Part-Time Data Entry Clerk / Administrative Assistant at careerzynith, you'll be responsible for:

  • Using spreadsheets or databases to organize information and produce standard reports
  • Preparing a variety of complex disbursement forms, including check requests, travel forms, cash sheets, and journal entries
  • Compiling and maintaining reports and financial statements
  • Greeting visitors and maintaining appropriate safety procedures in secured environments
  • Setting up accounts, reconciling ledgers, and gathering data for budget preparation
  • Preparing a wide variety of accounting forms and reconciling daily receipts or accounts receivable/payable
  • Identifying discrepancies and making corrections, collecting required documents, and preparing expense vouchers and/or invoices
  • Verifying requests for goods and services against County contracts and funding sources, ordering goods or services, and following up on discrepancies
  • Establishing, modifying, and maintaining a system for tracking the progress of work that's the responsibility of senior management
  • Training new employees, providing and explaining relevant policies and procedures, and composing routine correspondence on behalf of management
  • Scheduling and canceling appointments, maintaining calendars, scheduling rooms for classes, meetings, and conferences, coordinating audio visual and training equipment, and typing complex documents of a technical nature
  • Conducting tasks associated with payroll processing, including verifying timesheets, finding and researching payroll discrepancies, and providing resolution
  • Completing and verifying data entry, distributing paychecks, and providing information and answers to staff regarding payroll issues
  • Maintaining attendance and leave tracking records and acting as a department/agency/functional resource in data management systems

Requirements

To be successful in this role, you'll need:

  • A high school diploma or equivalent and two years of administrative support experience
  • An Associate's Degree in Business Administration or a related field is preferred
  • Experience can substitute for education, and education can substitute for experience
