Position Overview – Why This Role Matters

As an Overnight Medical Records Data Entry Specialist on the Release of Information (ROI) team, you will be the backbone of our claims processing operation. Working a 12‑hour night shift, you will ensure that medical records are accurately prepared, scanned, and transmitted to insurance agents, beneficiaries, attorneys, and hospital staff. Your meticulous attention to detail and strong organizational skills will help maintain the integrity of critical health information, supporting compliance with federal, state, and company regulations.

Key Responsibilities

  • Document Preparation & Scanning: Sort, staple‑remove, and organize hard‑copy medical records for digitization; scan documents to create high‑quality electronic images.
  • Claims Coordination: Communicate with insurance agents, beneficiaries, attorneys, and hospital personnel to gather required documentation and clarify claim details.
  • Data Entry & Verification: Accurately input patient and claim information into careerzynith’s database systems, ensuring every record is complete and error‑free.
  • Compliance Assurance: Follow federal, state, and internal policies to protect patient privacy and maintain audit‑ready documentation.
  • Clerical Support: Perform routine office tasks such as filing, sorting, and maintaining orderly record sequences; assist teammates with ad‑hoc projects as needed.
  • Quality Control: Review scanned images for clarity, completeness, and proper indexing; correct any deficiencies before final submission.
  • Production Tracking: Document workflow progress, update internal tracking tools, and report production metrics to supervisors.

Essential Qualifications

  • Minimum 1 year of medical data entry experience, with a proven track record of handling confidential health information.
  • At least 1 year of medical front‑desk experience, demonstrating familiarity with patient interaction and office procedures.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort navigating database applications.
  • Strong grasp of medical terminology, enabling accurate interpretation of clinical documents.
  • Excellent written and verbal communication skills in English; ability to convey information clearly to internal teams and external partners.
  • Demonstrated ability to maintain meticulous record order, sequence, and detail orientation.
  • Physical capability to remove staples, sort, file, and box records for extended periods.
  • Ability to sustain a productive pace while meeting production targets and quality standards.

Work Schedule & Location

This position follows a 12‑hour overnight shift, running from 6:00 pm to 6:00 am, Thursday through Saturday, with every other Wednesday off. New hires will undergo a 3‑ to 6‑month day‑shift training period (Monday‑Friday, 8:00 am‑5:00 pm) to master careerzynith’s systems and processes before transitioning to the night shift. The role is based at our Jacksonville, FL facility located at 5633 Doolittle Rd, Jacksonville, FL 32254.
