Project Manager / Virtual Assistant

Vinnie Mac is a full-service marketing agency helping home service contractors grow through proven digital marketing strategies. We are seeking a detail-oriented Project Manager / Virtual Assistant to support our Operations Manager in coordinating projects, managing tasks, and keeping our fulfillment teams aligned. This role is perfect for someone who thrives in an organized environment, enjoys keeping projects moving, and can communicate clearly across multiple departments. Key responsibilities include managing ClickUp task assignments, due dates, and project workflows; tracking progress across service teams (SEO, Ads, Content, Design, Web Dev); preparing weekly project status updates and communicating blockers to the Ops Manager; ensuring projects are delivered on time, within budget, and aligned with client goals; documenting processes and updating SOPs as directed; coordinating schedules, meetings, and follow-ups with internal team members; assisting in onboarding contractors and employees; compiling weekly and monthly performance reports for leadership review; and supporting the Ops Manager with administrative and communication tasks. This position comes with a lot of ownership and accountability, mixed with the support of our operations team and other specialists. Our work hours are typically a standard 40-hour work week in a casual and fun environment focused on positivity and encouragement.
