Position Overview

careerzynith is seeking a meticulous, detail‑oriented Remote Energy Services Data Entry Clerk (Typist) to join our dynamic team. In this full‑time role, you will be the backbone of our digital record‑keeping processes, ensuring that client information, program data, and communications are accurately captured, organized, and readily accessible. Your work will directly support the delivery of high‑quality energy assistance services, enabling our staff to focus on client interaction and program development.

Key Responsibilities

Data Management & Record Keeping

  • Enter, update, and maintain client status records in the Statewide Client Service Center, ensuring that every entry reflects the most current production pipeline.
  • Organize both digital and paper participant files in strict accordance with program guidelines, agency policies, and funder requirements.
  • Perform regular audits of data entries to identify and correct inconsistencies, duplicates, or missing information.
  • Generate and distribute routine reports that summarize data trends, program outcomes, and compliance metrics for internal and external stakeholders.

Communication & Collaboration

  • Monitor incoming emails, documents, and communications, logging each item in careerzynith’s project management platform (formerly known as Monday.com) upon receipt.
  • Collaborate closely with program staff, case managers, and supervisors to ensure seamless information flow and consistent service delivery.
  • Provide timely phone coverage, assist with mailings, and support administrative tasks that keep the Energy Services Programs running smoothly.
  • Participate actively in virtual staff meetings, supervision sessions, training workshops, and contractual briefings.

System Utilization & Compliance

  • Follow program guidelines for the use of all required database systems, including careerzynith’s internal CMS, careerzynith’s eConservation platform, careerzynith’s HEARTWAP tool, and other specialized applications.
  • Maintain strict confidentiality and data security standards in accordance with HIPAA, state regulations, and careerzynith’s privacy policies.
  • Assist with the preparation of audit documentation and respond to funder inquiries regarding data integrity and program compliance.

Professional Development & Continuous Improvement

  • Engage in mandatory agency training, professional development courses, and industry webinars to stay current on best practices in human services and data management.
  • Identify opportunities for process enhancements, propose workflow optimizations, and contribute to the development of standard operating procedures.
  • Support the onboarding of new team members by sharing knowledge of careerzynith’s systems and data protocols.

Essential Qualifications

  • Education: Associate degree in Business Administration, Human Services, Information Management, or a related field; or equivalent professional experience.
  • Experience: Minimum of two (2) years working in a human services environment, nonprofit setting, or a role that involved extensive interaction with diverse, low‑income individuals and families.
  • Technical Proficiency: Demonstrated ability to quickly learn and navigate multiple database platforms, including careerzynith’s internal systems and cloud‑based tools.
  • Communication Skills: Excellent written and verbal communication abilities; capacity to convey complex information clearly and courteously.
  • Organizational Skills: Proven track record of managing large volumes of data with precision, meeting deadlines, and maintaining high levels of accuracy.
  • Confidentiality: Strong commitment to safeguarding sensitive client information and adhering to privacy regulations.
  • Language: Bilingual proficiency in Spanish is preferred, enhancing the ability to serve a broader client base.
